Dear all,
we are the Secretary and the President of AEGEE Agrigento
and we want to raise a question about the recent problems with
the AEGEE servers during the last days of applications for Summer
Universities.
You know that there have been many difficulties and errors related to
the procedure of registration in Intranet website, that is compulsory to
signup in aegee.org/su in order to submit the application.

You also know it can be possible that until the last day before the
deadline some new members can register to the association to participate
to summer events. And this happened to us. About 7 boys and girls
became members of AEGEE Agrigento on 29th of April and asked us how to
participate and apply.
We personally filled their registration forms on http://intranet.myaegee.net/
but many messages of ERROR prevented us to do it in the correct way.
In some cases we succeded to have Username and Password the next day,
but for other guys this it wasn't possible.
SO WHOSE IS THE RESPONSIBILITY?
We don't think it can be given to the students who applied, because they were
in time to do all in the right way.

We asked many times MyAEGEE Team to provide Usernames and Passwords
in order to submit applications in time, but they always answered "we cannot
help you because you did not register in time to Intranet, we can only provide
Usernames and Passwords for those students who registered there but didn't
receive messages of confirmation". Even if all the other ones tried and tried to
register without success, for them there's no hope.
So we think that this is a way not to help AEGEE activities. It's not our fault
if the servers didn't work well and our requests were not submitted!
We asked SUCT to do something to help us, but they said they are not involved with these
technical breakdowns so they don't have any kind of power to manage this situation.

Of course we are aware that technical problems on computers can be possible,
but there must be another way to resolve this problem. The deadlines are important
but in some cases it is necessary to work with hands and fix manually bad situations.
This difficulties didn't only happened to us: we received some email messages by
boys and girls who didn't succeed to register on Intranet, so they sent us manually their
applications for our TSU and asked us to consider them as "real applications" (...)

Here one applicant's message arrived to our mailbox:
"The problem however is, that I am unable to create an Aegee Europe Intranet account, even though I am most definitely a member of an Aegee local.
The problem seems to be that when I sign up for an account and fill in all the required questions, I get a message that everything’s in order, but that I now have to wait for a confirmation e-mail. This e-mail, however, never arrives, and I have already tried it with a different address (same problem). I talked about this with the Aegee Amsterdam board, and they tried to fix the problem, but came to the conclusion that the same happens when they try to sign-up. Also, they never got a message that I signed up, so also weren’t able to confirm that I am actually an Amsterdam member.
Since the problem seems to be in the intranet system, and since I’m still on time with applying (I’m already trying this since last Wednesday, I got the advice to just e-mail you guys. I’m not sure how this problem can be exactly fixed, but I just wanted to be on time with my application.

So this is a widespread problem that AEGEE has to face in a proper way. We know that in these days
you sent some names of applicants in mailing lists to ask what antenna they belong, but there are many other guys
who were not able to apply and try to leave for events this summer.
We wanted to specify this situation in order to communicate better and to assure our members the best
organization, in particular for those who became members in these days and could have a bad impression
of AEGEE.
