Dear Rainbowists!

Action Europe Planning meeting in Cagliari is approaching rapidly and for
all of you that are so lucky that you will go (and are not dealing with
exams like me and a lot of other people), here are some tips:

1. LOGISTIC, USEFUL INFO
all important information and useful facts about transport, arrival,
registration, lodging and other useful info was presented regularly to you
by Enrico. It's to much to write about, that's why look at the archives of
this list or check AEGEE-Cagliari website: www.aegeecagliari.org (also for
all news, programme...)

2. PM BOOKLET
Booklet is one of the main things that you have to take with you to the PM.
Furthermore, you have to read it carefully and look into it closely,
especially agenda, workshops and interim report of the CD.
Booklet was sent to each local, but you can get it also on the other way:
- online to be downloaded and printed. You can find link on www.aegee.org in
the news section
- you can find it from AEGEE information database in the virtual office (by
type - PM)
- you can download it by sending an email to [log in to unmask] and writing
in the body text "get pm-booklet"

3. WORKSHOPS
At application you had to choose which workshops would you like to attend
to. But due to popularity of some workshops, everyone couldn't be assigned
to the 1st choice workshop. Email with list of selection was sent to
AGORA-L. If you haven't seen it jet, you can check it out at archives of the
mailing lists
(http://www.aegee.uni-karlsruhe.de/archives/aegee-agora-l.html). Mail was
sent on 18.8.2002 by CD Secretary Susanna Ritala. Find out to which workshop
are you assigned to and prepare for it!

4. POWERPOINT RULES
Our Chair, Koen Berden, has published some rules about PowerPoint
Presentations at PM and Agora. For those that want to give presentation of
you event, read it carefully (you can find it at the end of the mail).

5. MEMBERSHIP CARDS
Don't forget to take your valid membership cards with you!

I think that's more or less it!

Subject: [AGORA-L] Powerpoint Rules PM and Agora
Dear members of AEGEE,

For sure many of you remember the statutory meetings that took place in the
past half year: the PM in Helsinki and the Agora in Amsterdam! Both great
events where a lot of things happened.

Even though in general the whole two programmes went well there is one
aspect that caused organisational and managerial problems at both meetings:
the powerpoint presentations. They took too long, we were not able to put
them quickly in one row etc. and that took away much of the effect of the
presentations and caused great problems in keeping the agenda to end in
time. From Amsterdam we learnt a lot as Chair Team and, as you will surely
understand, we do not want to make the same mistakes again.

In Amsterdam again, we had powerpointpresentations with one disk, two disks,
even up to 5 disks, 2 CD-roms, some with music, some without, 1 CD-Rom, 1
CD-rom AND 1 disk, a presentation t! aking over 25 minutes, some with no
music and then when the music was needed after all we got the request: play
anything (do you realise you trusted the probably lousy music taste of the
Chair, Vice-Chair and JC?!!!), several presentations that were not handed
in, etc. The result was a lot of confusion with the presentations and a lot
of valuable time lost.

Nevertheless, we really think that the local event presentations are
important for locals that organise activities in terms of promotion and
that's why we want to keep these presentations as part of the agenda one
more time, to see if it will work now in Cagliari.

Therefore on behalf of the local organisers and the Chair Team, we would
like you to think of the following aspects if you want to have a powerpoint
presentation at the PM in Cagliari or at the Agora in Athens:

1. Please hand in your pp in time! Lists for signing in for a presentation
(with pp or without, it does not matter!) will be available from the first
day onwards. The moment of signing in would also be the moment to hand in
your pp. We will have to follow this rule more strictly than before, so
please take it into account!

2. A presentation is not supposed to take more than 2 - 2,5 minutes. It is
not fair for locals if some stick to this rule while others make 15 ! to 25
minute presentations. Therefore, if a presentation is too long, the Chair
team will reserve the right to cut it down to 2 - 2,5 minutes without
exception or to even cancel the presentation altogether.

3. Handing in the pp on disks or cd-roms is both fine as long as there is
more than enough time to install them on the laptop and make them ready for
running (at least 3 hours before!).

4. If you want to have music with your presentation it should be on the same
CD-rom as the PP itself. Please do not hand in one disk for the presentation
and one disk for the music. This makes the logistics much more complicated
(e.g. music and presentation have to start in time, disks both have to be in
and ready, it takes more time to prepare for the next PP after a
'complicated' presentation, etc.)

5. Presentations of Summer Universities are not allowed.
6. If you have any other SPECIAL requirements regarding your presentation,
please talk to Valerie-Anne, Mark or me FIRST. Do not try to test our
improvisational talents by surprising us at the spot!
I hope you can understand these restrictions in the PP format. They are
really necessary to make it more clear and easier for all of you to follow
each local presentation with maximum attention. We therefore hope very much
you will consider these points when coming to Cagliari next week and to the
Agora in Athens in November!

With Cagliari approaching rapidly, rests us nothing else but to wish you
good luck in making again some excellent presentations for your events!
