but even if you feel you have no enough experience, don't be shy! The most
important thing is your motivation!


 Members of the locals who showed their interest in organising Shooting
Europe 3 are encouraged to apply, because as from our experience one or more
member(s) of the hosting local being part of the European Team provides a
very good link among the two teams, which smoothens a lot communication and
organisation processes.

the Project Manager

ideally has to:

make the team start its work, promote a smooth introduction of all team
members in the group, organise the communication at its best

plan the all process, set deadlines, make sure the are respected! Take
together with the team important decisions (for example WHERE, and WHEN
exactly the festival has to take place)

choose the local which will host Shooting Europe 3

coordinate the work of the European team and Local Team

provide motivation during the whole process: before, during and after the
event

continuously make a good communication flow possible, keeping all team
members informed, be present at the most possible number of regular meetings
(via msn or else), propose an agenda for the meetings and make sure all team
members respect it!

organise the preparatory meeting on place

represent the festival in front of authorities, embassies, journalists, the
whole AEGEE Network, sponsors if required by the FR responsible... And
during the festival sometimes get on the stage to represent the whole team!

be able to take decisions quickly and solve problems

be engaged and enthusiastic about the project



 The European-FR Responsible

has to:

have a "I can, I'll do" attitude :)

be able to work individually and independantly finding institutional
sponsors (European Youth Foundation, MEDIA Programme eg.) keeping list of
deadlines, preparing applications, staying in touch and eventually
delivering activity and financial report

be able to work individually and independantly taking care of private
sponsoring

be able to cooperate with FR responsible in the organizing local (private
sponsoring: in kind in money)

preparing a financial plan for an event (following expences and
expenditures) together with the treasurer - have lots of motivation!,
energy!

have the ability to work in a team



The European PR Responsible

has to:

Promote the festival Europe-wide towards Media partners, Filmmakers and
Participants (write and publish press releases and triggering description
for the Festival)

Administrate and update the database with the Media contacts and Film/Cinema
Universities (continue with currently collaborations, attract new partners);

Provide content (about, categories, filmmakers, participants, contact us)
for the "Shooting Europe" website;

 Design promo materials (posters, flyers, catalogue, invitations, trailer)




 The Treasurer:

bears the responsibility for a well-balanced budget for the festival,
accounting for incomes and expenses.

Tasks include a budget draft at the beginning of the planning period, which
should be based on historic data, estimates from team members for their
respective responsibilities, and projected incomes from sponsors,
institutions etc. This draft is then adjusted as the planning goes along.

The treasurer has to communicate how financial availabilities will meet
actual needs, as well as to assist the project manager and the fundraising
manager with budget-related activities.

Finally, the treasurer accounts for all invoices and refunds to members of
the organization committee, and serves as a controller for any expenses
related to the festival.




3 Programme Responsibles

[In the past two editions of Shooting Europe there were 3 thematic sections
in the competition as well as in the day-programme of the event:

1. Human rights 2. Intercultural Dialogue 3. To be chosen : (2006: My
Europe; 2005: AEGEE TV FILMS)

Of course this division doesn't have to be respected if the new team finds a
new creative concept. Anyway, we suggest three programme responsibles]

The Programme Responsible:

has to:

develop of the film program of the festival

Communicate with the other Progr. Resp. in the team

Do film research to get the films and propose the participation to the
festival to some interesting filmmakers

Develop the film submission formular and take care of the submission
management, review of the submissions; receive the films, and decide which
should be screened at the Festival (besides cinematographic qualities, he
has to take care of lenght, provenience and other similar "organizational"
factors); at the end of the festival also send back the films!

After the selection deadline, contact the authors of selected films, and
make sure that all text and photographic material for the catalogue, or
other promotional material is available.

Cooperate to the catalogue (which is often a very stressy job with a short
deadline!)

During all the process, manage the e-mails from many people (many filmmakers
will be interested and will ask loads of questions), constantly communicate
with the filmmakers (before, during and after the festival (follow up!)

Help with advertising the program

Organise the discussion which can take place beside the films, on a
particular theme, and find some partners and speakers for the discussion;
lead the discussion about the films screened

Find interesting ideas to complete the programme and realise them!




 The IT manager

has to:

organise the mailing list(s) and provide the team with all technical IT
means which can improve its communication and its work before, during and
after the festival. Creativity is welcome also in the IT field!

manage the website, in cooperation with the PR responsible and other team
members. Create the perfect design; keep the site updated and be quick in
updating it!

support the graphic elaboration of the catalogue
